Confidentiality System of the Firm
Chapter One: General Provisions
Article 1: This regulation is stipulated in the purpose for the maintenance of clients' benefit and interest, protection of clients' technical secret and trade secret and for prevention of our firm's legal right and interest from being damaged. All staff of the firm shall strictly abide by the regulation.
Article 2: All the files of the firm are divided into three secret levels: A, B and C. The categorization of the secret files and usage shall be in accordance with the "Secret Files Management and Usage Code" of the firm.
Chapter Two: Detailed Rules
Article 3: To touch the technological files must be based on the need of work or management.
Article 4: The firm and all the staff members shall strictly keep the secret. Forbidden, in any ways, to disclose, tell or deal with the client's secret including relevant secrets to any irrelevant person inside or outside the firm.
Article 5: Any staff should not pry, ask other staff the client's secret which is not within the responsibility.
Article 6: Do abide strictly by the registration and security system of the files (including fax and computer discs). All secret files should be deposited in the cabinets with safety equipment. Passwords are needed for each secret file in computer and should be filed according to regulations. Forbidden to take confident files to the place irrelevant to work, as well as to discuss the secret items and transfer the secret files in the public places.
Article 7: The borrowing management system of secret files and materials should be strictly abided by. Whereas the secret files and materials are borrowed, they should be approved and registered according to the borrowing registration regulation.
Article 8: Secret files and materials are not allowed to be copied, photocopied extracted and disclosed without permission. It should Be approved and managed according to relevant regulations if it is done for the need of work. Forbidden to cite secret files or materials in publicly issued articles.
Article 9: With regard to the discussion and research of the case agency, the involving person should not disclose the discussed content. The minutes (or recording) of the meeting which should be given a collectively management are not allowed to be lent out without approval.
Article 10: When being transferred to another position or resigning, the staff should hand over the secret files including other things under his or her control according to the regulation, and should not transfer to other people randomly.
Article 11: The staff member should put the files into locked drawers or the filing cabinets when he or she leaves the office.
Chapter Three: Responsibilities
Article 12: The disclosure of lost of the secret should be reported immediately after happening and should be dealt with carefully. The punishment on the person who let the secret out should be thereon according to the relevant regulations of "Disciplinary Measure" of our firm.
Chapter Four: Supplementary Articles
Article 13: This regulation shall come into force from September 1, 2003.
